Staff mobility for teaching - Outgoing

Introduction

Erasmus+ supports teaching periods at higher education institutions abroad.

Teaching abroad is a chance to develop personally, professionally and academically, develop cultural awareness and open-mindedness, gain knowledge in new subjects or in teaching methods, and improve and gain language skills.

Eligibility

To teach abroad with Erasmus+, you must be an employee of the University of Nova Gorica (UNG).

The receiving institution and UNG must have an Inter-institutional Agreement between them for you to teach there with Erasmus+.

To be eligible for Erasmus+ mobility, you must apply for the UNG call and be selected.

A teaching period between two Programme Countries must last a minimum of 2 days and a maximum of 14 days.
A teaching period between Programme and Partner Countries must last a minimum of 5 days and a maximum of 14 days.
In both cases, travel time is excluded.

During your stay abroad, the teaching activity must comprise a minimum of 8 hours of actual teaching time per week (or any shorter period of stay) .

Get Informed

Attend Erasmus+ sessions organized by International Office during the academic year to to learn about the opportunities offered by the Erasmus+ programme. You can also request for an individual meeting with Erasmus coordinator.

Check the list of Erasmus+ Inter-institutional Agreements between the UNG and the institutions from Programme Countries and the list of Erasmus+ Inter-institutional Agreements between the UNG and the institutions from Partner Countries.

*If you would like to carry out your teaching mobility in a Partner Country, please contact the International Office.

Prepare your application package
You should fill out the application form, listing the institution where would you like to teach. If you wish to carry out teaching mobility at multiple institutions, you should fill out the application form separately for each institution. Submit your application package to international.office@ung.si.

Selection process
UNG will evaluate your application according to the criteria stated in the call for applications. You will be notified of the results.

Meeting with Erasmus coordinator
After you have been informed about the selection results, you will be invited to a meeting with the Erasmus+ coordinator, where you will learn more about the following steps, and have the opportunity to ask questions that you might have.

Financial Support

Staff will receive EU grants intended to cover their travel and subsistence costs abroad, amounting to:

Days 1 to 14

Group 1 – Highest cost group: EUR 190/day
Austria, Belgium, Denmark, Finland, France, Germany, Iceland, Ireland, Italy, Liechtenstein, Luxembourg, the Netherlands, Norway, Sweden

  • Regions 13 and 14: Faroe Islands, Switzerland, the United Kingdom

Group 2 – Medium cost group: EUR 170/day
Cyprus, the Czech Republic, Estonia, Greece, Latvia, Malta, Portugal, Slovakia, Spain

Group 3 – Lowest cost group: EUR 148/day
Bulgaria, Croatia, Hungary, Lithuania, Poland, Romania, Serbia, North Macedonia, Turkey

Group 1 – Highest cost group: EUR 190/day

Travel Costs

10 km – 99 km:
Standard travel: EUR 28 / Green travel: EUR 56* + up to 6 travel days

100 km – 499 km:
Standard travel: EUR 211 / Green travel: EUR 285* + up to 6 travel days

500 km – 1999 km:
Standard travel: EUR 309 / Green travel: EUR 417 + up to 6 travel days

2000 km – 2999 km:
Standard travel: EUR 395 / Green travel: EUR 535 + up to 6 travel days

3000 km – 3999 km:
Standard travel: EUR 580 / Green travel: EUR 785 + up to 6 travel days

4000 km – 7999 km:
Standard travel: EUR 1,188

8000 km and above:
Standard travel: EUR 1,735

*For distances below 500 km, participants are generally expected to use low-emission means of transport.

Green travel includes: travelling by train, bus, carpooling (van), bicycle, walking, electric scooter, etc.

Receiving institution

You should send an email to the relevant contact at the potential receiving institution, describing your area of expertise, how the exchange would benefit both institutions, and provide a draft of your proposed work plan, including your intended mobility period.

Check the Academic Calendar of the receiving institution if you are interested in teaching mobility.

Mobility Agreement
After you have agreed with the receiving institution about your work plan, you can prepare the Mobility Agreement, which needs to be signed by three parties (you, the receiving institution and UNG).

Pre-departure

Health insurance
You must provide proof of valid health insurance to the Erasmus coordinator.

Accommodation
Find yourself an accommodation in the host country, ask receiving institution for help (they might offer rooms in dormitories etc.).

Transportation
Calculate your travel costs and arrange your flight/train/bus ticket. You can also travel by car.

Travel order (in Slovenian: Potni nalog)
In order to prepare the travel order, the Mobility Agreement must be signed. To prepare the Travel order, please, contact the secretary of your Department.

Note that to continue the process before departure, you should respect the deadlines of submission for the following documents:

Travel order - 21 days before departure

Visa
Please visit the official website of the Slovenian Ministry of Foreign and European Affairs for more information regarding visa and check whether a visa is required for your destiantion country. Visa application process can take more than 3 months, so please ensure that your visa is obtained in time to proceed with the mobility process.

Grant Agreement
Once you have received the signed Mobility Agreement and provided a copy of your health insurance, travel order (SL. potni nalog) and visa (if applicable), you will be able to sign the Grant Agreement with UNG.

During mobility

You are expected to report to your home institution about your workflow and work progress, as well as in case of any problems that you might experience at the receiving institution.

After mobility

Upon returning home, you are required to submit the following documents to the Erasmus coordinator:
• Letter of Confirmation and
• EU Survey (Beneficiary Module).

In addition, you must submit a report on the completed official trip, outlining the professional benefits and skills acquired during your visit to a partner institution, and present your Erasmus experience at your Faculty/Department and during Erasmus information sessions.
